Our Policy
We respect your privacy and have therefore adopted this Privacy Policy to govern the relationship between you and us.
This Privacy Policy explains how we collect, use, store and protect personal information when you visit our website, contact us, make an enquiry, download information, or otherwise interact with us. By providing personal information to us, you acknowledge that we will collect, use, disclose and otherwise handle that information in accordance with this Privacy Policy. If you choose not to provide us with your personal information, then some functions and features of our services may not be available to you.
We handle personal information in accordance with the Privacy Act 2020 which sets out how organisations collect, use, store, disclose and provide access to personal information.
In this Privacy Policy:
“we”, “our”, or “us” refers to ITM.
“ITM Trade Club” means the membership issued to Trade Club members.
“personal information” means identifiable information about an identifiable individual, including you and your employees, officers and agents. For example, your name, company or business name and number, job title, email address, mailing address, phone number, location, enquiry details, communication history, spending data, demographic information, membership details and website usage information.
“Priority Card” means the membership card issued to a cardholder, whether in physical or digital form.
“Privacy Act” means the Privacy Act 2020.
“website” means our website and any of our online tools or applications.
How We Collect Personal Information
We will collect personal information directly from you including when you:
disclose personal information on our website using any online application form
complete an entry form, including for a competition or giveaway
send us an e-mail or otherwise contact us through our website or social media
complete an enquiry or contact form
sign up to receive marketing communications or notifications from us
communicate with our team by email, phone or other channels
apply for ITM Trade Club or a Priority Card
interact with our website, ITM app or systems including through cookies or analytics tools.
We may also collect personal information about you from third parties with your consent or where otherwise permitted by law (for example, where the source of the information is publicly available). When it is necessary, we will notify you that we have indirectly collected your personal information and inform you of your various rights in accordance with our legal obligations under the Privacy Act as soon as reasonably practicable.

to notify you about new products and services and/or promotions that we think you will find interesting. If at any stage you no longer wish to receive these notifications, please notify us by e-mail at privacy@itm.co.nz
to process ITM Trade Club and ITM Priority Card applications
to perform credit checks
to carry out market and product analysis and market our products and services generally
to comply with our legal obligations
for business record-keeping purposes as required by any applicable laws or internal business policies

We may share personal information to support our business operations, provide services, meet legal obligations and protect our rights. This may include sharing information with:
our member stores or related companies
third party service providers who assist us in providing our services, including those that help us operate our website, systems, communications, logistics or business processes

We may provide aggregate statistics about our customers, however, these statistics will not have any personal information which would identify you.

You have the right to request access to personal information that we hold about you. You can also request that we update or correct your personal information that we hold about you. We may require proof of identity before we disclose any information to you regarding changing, correcting and updating information. These rights are subject to certain limitations and exceptions as set out in the Privacy Act.
Artificial Intelligence (AI)
We may use AI tools to support our business operations and service delivery. We use commercial versions of these AI tools that include data protection controls. When using these AI tools, we take reasonable measures to ensure that any personal information processed through them is not used for AI model training and is protected by safeguards appropriate to our legal obligations under the Privacy Act.
Marketing Communications
If you choose to subscribe to our newsletters or receive marketing communications, you will have the option to opt-out or unsubscribe at any time by using the unsubscribe link in the email or contacting us directly.
